Opera Gallery Madrid is looking for a full time Administrative with a proven track record in Art to join its team.
The Administrative (and Registrar) will report directly to the Director of Opera Gallery Madrid.
Key Responsibilities:
- Arrange the safe packing and transport of art obtaining the best value pricing while keeping artwork safe in transit. This includes shipments to and from the different Opera’s galleries, clients and artists.
- Maintain shipping records, condition reports and installation instructions while updating the records in the database.
- Management and upkeep of the gallery database.
- Assist as needed in the logistics of exhibitions at the gallery, as well as those held at off-site institutions, art fairs, etc.
- Track and communicate shipping schedules to gallery staff.
- Assist the gallery daily operation, gallery exhibitions, openings, special events and meetings, such as room reservations, press packets, catalogues, etc.
- Update auction calendar and track relevant auctions.
- Create and manage guest lists for exhibitions/dinners, and support Director during openings.
- Update Director’s client information as needed.
- Work alongside Director’s for daily tasks and long-term goals/projects.
- Ability to work after hours for certain client viewings, openings and events.
Qualifications for this Role:
- BA degree, Art History or related degree.
- 2+ years of experience in a similar role at a contemporary art gallery, fine art shipper or auction house, strongly preferred.
- Knowledge of packing and shipping of art internationally including international import and export regulations, local and international customs procedures.
- Expert-level proficiency with Microsoft Office, Outlook, Word, Excel, PowerPoint and also Adobe Photoshop.
- Written and spoken proficiency of Spanish and English; French and Chinese, a plus.
- Excellent written and verbal communications skills.
- Experience of working across countries and time zones within a global organization.
